How to run a coworking member social people come back to

People join a coworking space partly to feel less alone, and then spend months in headphones. A monthly social is the obvious fix. The trouble is that the same ten people come, and they mostly talk to each other.

Pick a time that fits how people work

Late afternoon on a regular day works better than an evening they have to stay for. Keep the time fixed: “first Thursday at 5:30” is something a member can plan around. Food does a lot of the work. Good food at 5:30 gets people out of their chairs.

Bring in the people who don’t come

  • Ask directly. A one-line personal note beats a calendar invitation sent to everybody.
  • Welcome new members in person. Make their first social part of their first month.
  • Give a reason beyond the free beer. “Meet the person who can fix your books” is more compelling than “community drinks”.

Keep the regulars from closing the circle

Regulars aren’t being unfriendly. They’ve just got a year of shared jokes. Change the shape of the room: no big table, food in more than one place, and a community manager who’s not stuck at the kitchen island. Ask your regulars to look out for someone new. Most will enjoy being asked.

Make introductions at scale

You’re probably the only person who knows who should meet whom, and there’s one of you. A template can do part of your job. In Flare, ask what members could use a hand with and what they do that others might need. Use one light question too, so someone who’s not looking for business still gets a good conversation.

The live code goes on the lounge TV, members scan in, and two phones light up in the same color. They might have worked thirty feet apart for a year. You don’t see who met whom, which is a big part of why members will trust it.

At a small space, this has a natural limit. Each phone remembers who it’s already met, so a small group will run out of new introductions. Under about 15 people, you probably don’t need it at all.

Repeat the format

Use the same format each month, and the same template. Run this event again brings it back with a new date. Share totals in your member update so people who skipped can see what they missed.
